Using Secluda Spam Filter

Secluda InboxMaster is an intelligent e-mail spam filtering system. It works with you to block unwanted junk e-mails, also known as spam, from arriving in your inbox. You train it to know who is a trusted source and who should be blocked from sending you e-mails. As it learns from you, it becomes even more effective at filtering out unwanted mail.

Why is this important? Spam is a common source of computer viruses. The shear quantity of spam sent to the SNHU e-mail system slows down the network for all of us. Stopping these e-mails protects our computer network. Additionally, your inbox is not cluttered with unwanted, unnecessary, junk mail.

There are two ways to view and manage e-mails detained by Secluda. Either login to the Secluda site or periodically you will receive an e-mail in your inbox that messages are detained. Click the link in this e-mail to access Secluda and view detained messages.

To Login to Secluda
  1. Launch your web browser, for example Internet Explorer, to access the SNHU web home page
  2. To login to Secluda from campus type in the URL http://secluda.snhu.edu/
  3. At the Welcome to the InboxMaster System home page enter your SNHU e-mail address, for example j.smith@snhu.edu. Then enter your SNHU e-mail password and click Login to Inboxmaster.
  4. The Main Menu displays where you can customize Secluda and/or access detained messages.
  5. When you are done using Secluda, be sure to click Log Out. Do not leave Secluda open unnecessarily!

Detained Messages

Choose detained messages to view and manage questionable e-mails blocked by Secluda.

  1. From the Secluda Main Menu, click Detained Messages. Secluda displays a listing of blocked messages, who sent them and when they were detained.

  2. To view any message, click on it's subject link located in the Subject column. It is safe to view messages within Secluda, viruses are blocked. When the message opens, scroll past the HTML code to view the content of the message. To close the message, click Back or Detained Message. Do not click the X close box in the top right corner.
  3. Next tell Secluda what action to take with this message. Under the Action column, click the down arrow next to Select Action. Then select one of the following options:

    Option Use to:
    Release Message release the message to your e-mail inbox this one time. Any future messages from that sender will be detained.
    Trust Sender release this and future e-mails from this sender. Use if you trust the sender and want to receive his/her e-mails in the future.
    Trust Domain release this and future e-mails from this domain. A domain refers to a networked computer, generally the information after the @ sign in an e-mail address. For example, the domain in j.smith@snhu.edu is snhu.edu. Be careful with this option! If you trust a domain, all e-mail from that address including spam is allowed through to your inbox.
    Discard Message delete this message this one time. Any future messages from that sender will be detained but not deleted. This message is deleted permanently, there is no undo, it can not be recovered!
    Block Sender prevent this sender from sending e-mails to your inbox. The message stays on this list until you discard it.
    Block Sender & Discard prevent this sender from sending e-mails to your inbox and delete the message from the list.This message is deleted permanently!
    Block Domain & Discard prevent this domain from sending e-mails to your inbox and delete the message from the list. This message is deleted permanently!

  4. Next click Process Actions located beneath the listing of detained e-mails. If you have chosen to discard a message, Secluda will prompt you to confirm this action. Discarding a message can not be undone! After clicking Process Actions, wait for the Detained Messages screen to reappear before exiting.
  5. To exit Detained Messages, click Main Menu.
  6. To exit Inbox Master, click Logout.
Out-Of-Office Reply

If you will be away from your e-mail and want everyone who e-mails you, even those whose messages are detained, to receive and out-of-office reply, then use the "I am Out" feature in Secluda. If you turn on the MS Outlook out-of-office assistant without turning on Secluda's equivalent feature, those people whose e-mails are detained by Secluda will not receive an out-of-office reply from MS Outlook.

  1. SelectUser Settings from the Secluda main screen
  2. Set the "I'm Out" Mode to on
  3. Enter your away-from-e-mail message in the "I'm Out" Message: box
  4. Click Process Changes
  5. Be sure to set the "I'm Out Mode back to off when you return to e-mail.

Manage Trusted Senders and Domains

When you tell Secluda to trust a sender or domain, you are giving it permission to send e-mails from this person/domain to your inbox. If you wish to view the listing of Trusted Senders/Domains or delete one from this listing:

  1. Login to Secluda. From the Main Menu click Manage Trusted Senders or Manage Trusted Domains. A listing displays.
  2. To remove a name from the listing, click the Remove check box next to its name.
  3. ClickProcess Changes.
  4. To exit clickMain Menu.
  5. To exit Inbox Master, click Logout.

Manage Blocked Senders and Domains

When you tell Secluda to block a sender or domain, you are instructing it to block all e-mails from this person/domain. If you wish to check this listing or have blocked senders/domains and now wish to remove them from this listing so that you can receive their e-mails:

  1. Login to Secluda. From the Main Menu click Manage Blocked Senders or Manage Blocked Domains. A listing of blocked names displays.
  2. To remove a name from the listing, click the Remove check box next to its name.
  3. ClickProcess Changes.
  4. To exit Manage Blocked Senders/Domain, clickMain Menu.
  5. To exit Inbox Master, click Logout.
Inbox Master Report Scheduling

Secluda notifies you when it blocks suspicious e-mails by sending an e-mail called an "Inbox Master Report" to your e-mail inbox. These reports arrive every 4 hours during weekdays, every 8 hours at night and every 12 hours on the weekends. If you wish to change this schedule or turn off the reports:

  1. Login to Secluda. From the main screen click Report Scheduling which is in the bottom left section of user options.
  2. Click View/Modify next to either "Weekends", "Nights" or "Weekdays" depending on which timeframe you’d like to change.
  3. A Report Schedule displays for the time frame selected. Select your new schedule, for example every 2 hours. If you do not wish to receive these reports at all, click the down arrow next to enabled, highlight disabled.
  4. Click Process Changes.
  5. To exit Report Scheduling, clickMain Menu.
  6. To exit Inbox Master, click Logout.
View Blocking Events

In addition to detaining questionable e-mails, Secluda blocks e-mails sent to you from known spamming sites. These e-mails can be viewed by clicking View Blocking Events from the Main Menu. It is a good idea to periodically clear these e-mails by clicking Clear All Events.
