IMPORTANT ADDRESS DATA ENTRY REMINDERS

When entering addresses, the entire street address should be entered on one line. If the entire address doesn’t fit, the apartment, building, suite, etc., should be in the first window with the actual street address in the second window. Also, please be sure to separate out City, State, and ZIP into the appropriate elements. All three items should not be entered in the same text box. Finally, when entering international addresses, be sure to include the appropriate code in the Country field. Your efforts to keep address data clean are much appreciated!

As a reminder, all staff who enter new person records as part of their daily tasks should have QAS installed on their PC and be using it when entering address information. The QAS software will verify that the address being entered is valid and that it is formatted properly. If you routinely create new person records and need to have QAS installed on your PC, please contact DBM and we will put in a work order for you.

For those who only occasionally enter address information and therefore are not using QAS, please be sure to refer to your Core manual for post office addressing standards.

BLACKBOARD TRAINING

We have seen a dramatic increase in the use of online training. Is someone in your office doing their Datatel training on Blackboard? As a gentle reminder, when staff come to training in our lab, they are “in training” and are not expected to answer the phone, man the counter, respond to e-mails, etc. Why should it be any different when they are “in training” at their desk? Do yourselves and your staff a favor by setting aside uninterrupted quiet time for online training. Doing so will allow trainees the time they need to comfortably get through the material and give them the tools they need to successfully do their job. Let’s start our new people off on the right foot by giving them the support they need!

WAITLISTING

Some locations have started using Colleague’s waitlisting feature with registration. When creating sections, be sure that the Allow Waitlist field on SRES is set to No if you do not wish to allow students to waitlist for that section. If you are interested in using waitlisting for your sections, contact Pam Henley for training.

ADDRESS CHANGES

There were 2,668 address changes in September, 1,888 address changes in October, 2,184 address changes in November, and 1,261 address changes in December.
