Updates - April 2007

Refreshing Scripts

As a reminder, any time you see the above message after logging into Datatel, you must select Ok. After the scripts have been updated, you will be prompted to start a new session.

Move To Student

Before moving an applicant to student, be sure to check the entry term on APPN to be sure it reflects the appropriate term.

Don’t forget to check the Home Location field on SPRO when moving to student to make sure that a location has been entered. This field is required for the generation of PENpal IDs.

Withdrawing Students

Unfortunately, we are seeing a large increase in the number of students being withdrawn from classes and not being given a W grade. Please be sure that when you withdraw a student, you give them a grade of W! Also keep in mind that when you Drop a student, they do not get a grade.

Adding Institutions

Remember! If you are unable to locate an institution, do not add it as a new record. All requests to add institutions should be sent to Sharen Brady with as much information as possible on the institution, such as full name, street address, city, state, country, phone number, type of institution (high school, college), etc. If you have student workers, please be sure they are aware they should not be adding new institution records! Don’t forget that all the standard name searches work whether you are searching for a person or an institution, including Soundex. The chance of finding a domestic institution that is not already in the system is pretty slim, so be sure to use all of your search techniques.

Names With Punctuation

Looking for a record of a person with punctuation in his/her name (e.g. St. Cyr, O’Sullivan)? Remember to leave the punctuation out when doing your search (e.g., STCYR, OSULLIVAN). If you are unable to locate the person and need to add him/her as a new record, you will have to use the = in the last name field to correct the name display (e.g., =St Cyr, =O’Sullivan).

Institution Lookups

If you are looking for an institution record, do not use NAE. The NAE form is for person records only. If you are looking for an institution or a corporation, you should be using ORGP.

Maintaining SPRO

When doing a change of program on SPRO, it is very important to remember to enter the Admit Status and Location codes on the new program on SACP. These do not fill in automatically for you and must be entered!

Address Changes

There were 2,734 address changes in January; 2,192 address changes in February; and 3,363 address changes in March!

Address changes can be sent to us by fax at 9778, interoffice mail, or via e-mail at adrchg@snhu.edu. An address change form is available on the SNHU website on Database Management's Additional Colleague Information page.
